The non-profit non-profit association with the name “CHRISTIAN FRATERNITY YOUTH OF THESSALONIKI – Y.M.C.A.” is committed to protect the Personal Data disclosed to it, from any source [indicatively through applications for participation in programs, applications for registration or renewal of registration as a member, mail, fax, corporate card, tax forms, website of the Association, databases, third party partners, etc.], in accordance with European Regulation 679/2016 on the protection of personal data.

The Association in its capacity of Data Controller collects, processes and maintains the following personal data exclusively and only for the following specific purposes:

Type of Data:

A) Basic Identification – Contact Data, such as:

Full names of parents and minor participating in the program,

Telephone numbers, postal and/or e-mail address, personal identification number, social security number, tax office, occupation of parents

date of birth and social security number of the minor

B) Health data, such as: allergies to medicines, food and materials, pre-existing medical conditions, special dietary needs, etc. of the minor participating in the programme.

C) Biometric data, such as: photographs, videos, etc. of the minor participating in the programme

Purposes of processing:

  • In the context of the legitimate activities of our Association
  • For the proper performance of the contract concluded by the minor’s application to participate in the programme
  • For tax – accounting purposes, for the invoicing of the service offered
  • For the purpose of providing proper communication and information on matters pertaining to the program, such as the start of the program, the minor’s progress in the program, outstanding financial obligations, etc.
  • To provide information on other programmes, actions and events
  • For the protection and safe management of the minor during his/her participation in the programme
  • To issue commemorative annual and anniversary albums
  • For historical, accounting and statistical purposes
  • For the effective promotion and presentation of the programme in electronic and printed media, social media, etc.

DISCLOSURE TO THIRD PARTIES

We undertake not to disclose your personal data to third parties. Exceptionally, we may need to disclose or transmit some of your personal data to third parties, such as, but not limited to, external partners, third parties at your request, in order to properly perform our contractual obligations towards you Also, we may in some cases be legally obliged to disclose your personal data or documents containing your personal data to tax or administrative authorities, insurance funds, federations, etc. In these cases we take care to ensure that the transfer includes the minimum required personal data, is carried out in the safest possible way and that the third party further ensures that it is processed securely.

PERIOD OF RETENTION AND USE OF PERSONAL DATA

We are obliged to keep your personal data for the entire period of the minor’s participation in the program, his/her participation as a member of our Association, the fulfillment of the obligations of both parties, and for the minimum period required by existing legislation, in order to fulfill our obligations to third parties (including tax authorities).

As an Association, we keep personal data (identification and visual material) of minors participating in the program indefinitely for the needs of the Organization’s historical records.

RIGHTS CONCERNING PERSONAL DATA

At any time, if you wish, you have the right to access, rectify and delete your personal data and the right to restrict and object to their processing. You also have the right to request us to transfer your data to another Data Controller. In order to exercise all of the above rights, you may submit a request to Mr. Alexandros Argyriou, Data Protection Officer of the Association Y.M.C.A. THESSALONIKI, at a.argyriou@ymca.gr.

In the event that you exercise one of the above rights, we will take every possible measure to satisfy your request within one month of receiving it, informing you in writing of the satisfaction of your request or of the reasons that prevent the satisfaction of one or more of them, as well as of the reasons for any delay beyond the above one-month period. We will also inform you of your further rights in the event of our failure to respond adequately. This information will in principle be provided by us free of charge.

For those of the personal data that we collect that require your consent, you always have the right to withdraw it, by informing us either by letter to the Association’s headquarters, 1 N. If you believe that our Association in any way violates the applicable legislation on personal data, you have the right to submit a complaint to the competent Data Protection Authority. In this case, we would greatly appreciate your prior contact with the Data Protection Officer of Y.M.C.A. either by letter to our headquarters (1 N.
